COD confirmation on WhatsApp: designing the flow
COD confirmation is the highest-value message most Indian stores can send. It costs one utility message and can stop a parcel that would have come back.
The flow has more decisions than it looks. This guide walks through each one.
The message
| Part | Content |
|---|---|
| Header | Your store name and "Confirm your order" |
| Order | Products, quantity, total to pay on delivery |
| Address | Full delivery address, so mistakes are caught |
| Buttons | Confirm, Cancel, Pay now instead |
When there is no reply
Some buyers never reply. Decide your rule in advance: one reminder a few hours later, then either ship as normal or hold, depending on order value and your experience with similar orders. High-value or first-time orders are usually worth holding a little longer.
Timing
Send the confirmation within minutes of the order, while the buyer is still thinking about it. Messages sent the next day get fewer replies and more "what order?".
Cost
COD confirmations are utility messages: ₹0.115 each to Indian numbers from 1 October 2026. A reminder doubles that for the buyers who do not reply. Against the cost of shipping an order out and back, it is small.
Who should see the replies
Most replies are button taps that update the order on their own. The rest, address corrections, questions about delivery dates, requests to change the product, need a person. Route those to a shared inbox that someone checks several times a day, because an order held for an answer that never comes is a sale lost.
Handling cancellations well
A cancellation at confirmation is good news: it is a return you did not pay for. Make cancelling easy and polite, restock the item at once, and consider one optional question about why. Over a few months, the answers show patterns, such as buyers who expected faster delivery or a different size, that you can fix on the product page.
Common mistakes
- Sending it the next day. Replies drop sharply once the buyer has moved on.
- Asking them to call you. Buttons get answers; phone numbers do not.
- Not updating the store. If a cancelled order still ships, the message did nothing.
- Promotional wording. An offer in the confirmation can push it into the marketing category.
- No plan for silence. Decide your no-reply rule before you switch the flow on.
Template approval tips
- Keep it transactional: no offers or promotional language, or Meta may class it as marketing.
- Use variables for the customer's name, order number, items, total and address.
- Include the buttons in the template so replies are one tap.

Frequently asked questions
How do I confirm COD orders on WhatsApp?
Send a utility template right after each COD order with the order, address and buttons to confirm, cancel or pay now, then update the order based on the reply.
What should I do if the customer does not reply?
Send one reminder a few hours later, then follow your own rule: ship, or hold high-value and first-time orders a little longer.
Can I hold an order until the customer confirms?
Yes, that is your policy to set. Many stores hold high-value and first-time COD orders until they are confirmed, and ship the rest after one reminder.
Is a COD confirmation message marketing or utility?
Utility, as long as it is transactional with no promotion. It costs ₹0.115 to an Indian number from 1 October 2026.
